The Office of Staff Development is pleased to present the 2008 orientation schedule. There are a number of different orientations that are provided by the Office of Staff Development, including Health Center Orientation and Health System Orientation. New and transferring employees must complete the appropriate orientation for their position. Determination of orientation requirements is made collaboratively between the Managers and the appropriate Office of Staff Development staff member. All new employees are expected to attend Health Center Orientation. Employees who will be working in the John Dempsey Hospital or the UConn Medical Group areas must attend Health System Orientation in addition. When new employees are hired, Human Resource Recruiters will work with Managers to assure that new employees’ start date coincide with the appropriate orientation.

A brief synopsis of each orientation follows:

HCO

Health Center Orientation (HCO): Human Resources         (860) 679-2426

Target Group: All new employees to the Health Center are expected to attend Health Center Orientation on the date of hire (e.g., their first day of work).

Content covered: Topics include the Health Center mission, organizational structure, safety and infection control information and other important topics that directly relate to regulatory agencies' requirements and/or institutional goals.

Length of Orientation: 4 1/2 hours (8 am- 12:30 pm)

Frequency offered: Health Center Orientation is generally offered every other Friday*, on the Friday following a pay day.



HSO

II. Health System Orientation (HSO):

Target Group: All new employees who are hired to work in the UConn Health System (John Dempsey Hospital or the UConn Medical Group areas) are expected to attend Health System Orientation.  Health System Orientations held once a month on a Monday following HCO.

* If it is imperative that a new employee start in their department/unit prior to attending HCO/HSO, the manager must complete an exception form Addendum C.

Content covered: Health System Orientation content includes Health System safety information, infection control and TB mask fitting, patients’ bill of rights, consent decree, confidentiality, Level I and Level II Training for Medical/Surgical 5, Customer Service, Trends in Healthcare, and Age-Specific Competency. Depending on the PREF additional classes such as IDX/CRS computer training, patient/family education documentation and CPR certification to name a few, may also be required.

Length of orientation: Health System Orientation is from 8 am - 4:30 pm. Orientees are met in the hospital lobby at 7:55 am.

Frequency offered: Health System Orientation is offered monthly.

Department of Nursing Orientation/Training Programs
Several orientation and training programs are conducted for all nursing staff and support staff. All special orientations begin with Health Center/Health System Orientation and continue to include position-specific topics.

Cancellation of Orientation
Orientation programs are held according to the established schedules, with the following exceptions:

Health System and/or Nursing orientation will be canceled if there are no new employees hired. The Human Resources Department notifies the Office of Staff Development of the names/positions of all new hires no later than noon on the Wednesday preceding the orientation date.

Orientation will be canceled if UConn Health Center advises that due to extreme weather conditions or other disasters, only essential UConn Health Center employees should report to work. If the orientation is delayed or canceled, a message will be left on the voice mail of the Office of Staff Development at (860) 679-2002 by 6:30 am of the scheduled orientation date. In the event that orientation is canceled, managers can make the decision whether or not new employees should report to their work unit, in accordance with the UConn Health Center Closing Policy.

Summary
In summary, we have described the orientations provided by the Office of Staff Development. If you need clarification as to which orientation is necessary for a particular employee, please do not hesitate to contact Human Resources (860) 679-2426 for Health Center Orientation or Holly Florio (860) 679-4072 for Health System Orientation.

You will receive a copy of the Orientation Checklist for your employee files following an employee’s attendance at these programs. We recommend you retain these checklists in your files. Human Resources Department will be sent the original employee’s Orientation Checklist.

Finally, we would like to thank you for supporting your employees’ attendance at these orientation sessions. Orientation provides a positive first step in welcoming new staff as well as providing them with critical, required information necessary to function and work efficiently and effectively at the Health Center.

ADDENDUM A
 

Nursing/Nurse Pro/Clerical (HUC)/Unlicensed Orientation Schedule

Please refer to the accompanying memorandum for a more complete explanation concerning these orientations. All new employees are expected to attend Health Center Orientation. In addition employees who will be working in the John Dempsey Hospital or UConn Medical Group areas must attend Health System Orientation.

Health Center Orientation (HCO): Day 1:
8:00 am - 12:30 pm. Afternoon: Benefits sign-up.

Health System Orientation (HSO):  The following Monday (once per month) 8:00 am - 4:30 pm.

Department of Nursing Orientation (NO):
8:00 am - 4:30 pm; additional day dependent on CPR status.

Department of Nursing Special Classes: Phlebotomy, IDX/CRS and Decentralized Lab Testing: Scheduled the week after NO.

Nurse Pro Orientation (NPRO): Day 1: To attend HCO live 8:00 am - 11:45 am. ESD staff will pick up Nurse Pros for HSO/NO by SLP 12:00 pm - 4:30 pm.  Additional day dependent on CPR status.

Clerical Orientation/Training (HUC): 2 Days:
8:00 am to 4:30 pm, plus additional computer training as needed.

Unlicensed Orientation/Training (ULO):
8:00 am - 4:30 pm; days to be determined by position and CPR status.

All new employees are instructed to meet a representative from Human Resources on the first day of orientation in the hospital lobby outside the gift shop at 7:55 am. Most HCO Programs will be held in the Faculty/Staff Dining Room (FSD) EXCEPT where noted * = Facilities Management Conference Room and ** = Keller Auditorium.

ADDENDUM B

Department of Nursing Orientations/Training Programs

Nursing Orientation (NO):
Office of Staff Development

Target group: Inpatient nursing staff must participate in a specialized orientation program called the Nursing Orientation (NO), which begins with Health Center/Health System Orientation and continues to cover nursing-specific topics. NCAs and MAs are required to attend selected topics within N.O.

Content covered: Classes are on subjects that are applicable to the majority of nurses who will be working on the inpatient and ambulatory units. Subjects include an overview of the Pharmacy and Nursing Department, as well as information on Discharge Planning, Code Blue, the Medical Record, Clinical Advancement, Documentation and IVs.

Frequency offered: This orientation generally takes place once a month.

 

Nurse Pro Orientation (NPRO):

Target Group: This orientation is for inpatient Nurse Pro staff only.

Content covered: Select clinical and nursing topics.

Prerequisite: Completion of the H.C.O. prior to attending Nurse Pro Orientation.

Frequency offered: Nurse Pro Orientation takes place twice a month on H.C.O. days.

 

Clerical (HUC) Orientation/Training

Target Group: This orientation and training program is specifically geared toward new employees who will be responsible for clerical functions on the inpatient units.

Content covered: The Clerical Orientation/Training covers a variety of topics that are geared for those employees that will perform clerical functions on inpatient units only.

Frequency offered: This orientation/training program generally takes place once a month and runs concurrently with Nursing Orientation. Please refer to Addendum A for further information.

 

Unlicensed Clinical Curriculum Orientation/Training

A. Target Group: This orientation and training program is specifically geared toward Nurse Aide: Nursing Care Associate, Medical Assistant: Inpatient.

Content covered: This Orientation/Training program addresses the educational needs of the unlicensed employee. The specific schedules are determined by position. Please contact Holly with any questions.

Frequency offered: This orientation generally takes place once a month and runs concurrently with Nursing Orientation.

ADDENDUM C

Orientation Exception Request

For employees hired to work in the UConn Health Center.

All new and transferring employees hired to work in the UConn Health Center are expected to attend Health Center Orientation (HCO) before working in their new positions. New employee start dates should coincide with the HCO schedule established by the Office of Staff Development. Exceptions to this standard should be rare, and when they occur, a special orientation plan must be negotiated between the Department Manager and the Orientation Manager in the Office of Staff Development. When the Administrative Officer approves an Orientation Exception Request, the Department Manager is responsible for assuring that the orientation requirements are met within the established time frame and that appropriate documentation is maintained.

Directions for processing exceptions to Health Center  Orientation

The responsible Department Manager will:

1. Consult with the Orientation Manager in the Office of Staff Development to develop a special orientation plan for the new employee.
2. Complete the request below AND the Special Orientation Plan Form.
3. Obtain the approval and signature of the Administrative Officer.
4. Send or fax a copy of the signed request AND the Special Orientation Plan Form to the Office of Staff Development and Human Resources.
5. Assure completion of the employee’s orientation requirements within the designated time frame.
6. Document that the orientation requirements were met and file the documentation appropriately:

a. Send original orientation documentation to Human
    Resources.
b. Send a copy to the Office of Staff Development.
c. Place a copy in the employee informational file.
